“Failed to load PDF document.” “The file is damaged and could not be repaired.” A blank grey page. When a PDF refuses to open, the cause is usually one of a small number of things, and the quickest checks come first.
In short: Most failures are incomplete downloads or a reader problem. Download the file again, open it in a different program, and check that it is really a PDF of sensible size.

1. Download or save it again
An interrupted download leaves a file that looks complete and is not. Download it again on a steady connection. If it came by email, save the attachment to a folder first and open it from there, instead of opening it inside the mail program. If it is on a cloud drive, wait until syncing has finished.
2. Check the size and the name
- A size of 0 KB, or a few KB for what should be a long document, means the file is empty or truncated. Ask for it again.
- The name should end in
.pdf. A name likeinvoice.pdf.exeor.pdf.htmlis not a PDF, and the first may be malware: do not open it. - If the file has no extension, adding
.pdfcan help, but only if you know it really is a PDF.
3. Try a different program
Drag the file into a web browser such as Chrome, Edge or Firefox; all have built-in viewers. If the browser was the one failing, try a desktop reader. On a Mac, try Preview; on Windows, the free Adobe Acrobat Reader. If one opens it, the file is fine and the other program is at fault.
4. Update or reset the reader
Old readers cannot open PDFs that use newer features. Update the app. In a browser, disabling extensions temporarily or trying a private window rules out an extension interfering with the viewer. Restarting the device clears a stuck viewer process more often than it should.
5. Check for a password or restrictions
If a password prompt appears, the sender must give you the password; there is no way round a properly encrypted file. Some organisations’ PDFs are tied to rights-management systems and open only in specific software, in which case the email or portal you got it from will say which.
6. Special forms
A page that says “Please wait… If this message is not eventually replaced by the proper contents of the document, your PDF viewer may not be able to display this type of document” is a dynamic (XFA) form. Browsers and most readers cannot display these. Download the file and open it in Adobe Acrobat Reader on a computer.
7. Try to repair or recover it
- Open the file in a browser and use Print → Save as PDF. If the pages display, this writes a fresh, clean copy.
- Some readers repair minor damage automatically when asked to save a copy.
- Running it through a tool that rebuilds the file can help: if Split PDF can read it, extracting all pages produces a new file.
- Look for an earlier version: the original email, the sender’s copy, a cloud drive’s version history or a backup.
If the data itself is missing, as with a truncated download, no repair tool can invent it. The fix is another copy from the source.
On a phone
Phones add two causes: too little free storage to finish a download, and apps that open attachments in a limited preview. Save the file to the Files or Downloads folder and open it from there in a full PDF app or the browser.
When to be cautious
- Unexpected attachments, especially invoices or delivery notices you were not expecting, are a common phishing method.
- A PDF that asks you to enable something, install a viewer from a link, or enter account details to “unlock” it should be treated as suspicious.
- When in doubt, contact the sender through a known channel before opening.
Asking the sender for a better copy
